About The Role

We're seeking a full-time Planning and Administrative Assistant to support our financial planning services.

This entry-level position is a great opportunity for someone who is new to the financial services industry, and wealth management in particular. The ideal candidate will be comfortable with analyzing and consolidating client data and able to work collaboratively with the advisors to prepare accurate and informative meeting materials for clients. They can expect to communicate via phone and email with clients but will not be responsible for presenting or participating in client meetings.

Job Responsibilities

This person will work collaboratively with financial advisors to assist them in consolidating information gathered from clients, managing client data and documents, and preparing client meeting materials. Tasks may include:
  • Generate cash flow reports using data provided by clients
  • Create withdrawal history charts from Schwab Portfolio Center
  • Assist with managing documents on secure client web portal
  • Draft emails to confirm the receipt of documents from clients
  • Track client data and generate reports using AdvisorEngine CRM
  • Compile relevant email correspondence from AdvisorEngine for quick review
  • Reformat long-term sustainability reports from Naviplan
  • Reformat client materials that arrive in disarray, consolidating couples to one page
  • Customize and send risk tolerance and ESG investing surveys to clients
  • Assist with managing and organizing documents in electronic folders
  • Generate investment reports using data from Morningstar
  • Gather capital gains estimates
  • Create global asset allocation reports
  • Create Social Security analysis using vendor software
  • Request and collect client tax returns from CPAs and record tax information
  • Execute accurate and timely placement of trades as directed
  • Schedule client meetings as directed and send meeting invitations
  • Assist with other financial planning client service, research, and operational tasks as needed
  • Interact with fellow team members in a calm, straightforward and transparent manner
  • Participate in our work as a team, including attending annual retreat, goal setting (firm and personal), ongoing team lunches and team meetings with outside consultant
  • Maintain high ethical standards and integrity at all times

Minimum Qualifications

  • 2 or more years’ experience in business environment.
  • High level of proficiency using Excel and ability to learn new technology quickly.
  • Strong verbal and written communication.
    Must be able to logically communicate concepts in written form.
  • An interest in comprehensive financial planning and our women-focused mission.
  • Ability to start in the near term.
OTHER DETAILS & COVID PROTOCOLS
  • Our office has adopted a hybrid work schedule. Mondays and Fridays we work remotely, and we are present in the office Tuesday, Wednesday and Thursday.



  • New employees can expect to work in person, in the office Monday-Friday during their three-month training and probationary period.
  • Employees are required to show proof of vaccination and will be expected to comply with safety protocols.
